Dean (Advising and Student Support Services)

Job Description

Provides leadership and management, and maintains accountability for Advising and Student Support Services operations. An employee assigned to this classification manages multiple departments and budgets, and reports to a cabinet member. Manages departments through supervisors, and maintains ultimate responsibility for area of authority. Ensures educational, testing, advising, first year experience, and related academic support and college success needs of students are met.

  1. Provides vision, leadership and management, and maintains accountability for assigned departments' operations, including Testing Center Services, Advising Services, Transfer Center, First Year Experience Program services and activities, high school and university partnerships activities, college access and readiness activities, and other student and academic support services, projects or grants as assigned, such as TRIO programs.
  2. Provides leadership and management in the context of a large comprehensive community college with multiple campuses, numerous regional learning centers and a large distance learning program.
  3. Provides leadership to ensure the accuracy of degree plans and related advising tools and resources, including collaborative advising programs with college and university partners, with the goal of assisting students to complete educational goals, certificates and degrees, transfer successfully, and be on the pathway to further educational attainment and bachelor's degrees.
  4. Provides leadership for collaboration and coordination with Academic Affairs, department chairs, faculty, and other Student Affairs and college division areas as needed to ensure college advising, testing and other student support, academic support, retention and success needs are being met. Provides representation to various divisional and college-wide committees, task forces and other groups as assigned.
  5. Leads a college-wide advising committee to ensure broad engagement of college advising representatives and coordination and communication of activities and resources that support student success and attainment.
  6. Manages and directs preparation of short term and long range plans and activities for Advising and Student Support Services in support of college goals, strategies and initiatives, including college access and readiness, student success and attainment, and other emerging priority directions as charged by the Vice-President of Student Affairs and President.
  7. Maintains responsibility for managing Advising and Student Support Services human resources. Conducts annual employee evaluations, and recommends pay increases, promotions and other personnel actions. Supervises administrators and staff by assigning and delegating tasks, providing direction, resolving work problems, communicating job expectations, training employees, and facilitating professional growth and development opportunities. Approves leaves and authorizes overtime as appropriate. Participates in employee selection process. Administers disciplinary actions upon approval, and in collaboration with Human Resources.
  8. Directs preparation of department budgets, and supervises departmental compliance with college budgetary practices, policies, and procedures.
  9. Directs preparation and approves capital equipment requests. Supervises expenditures of capital equipment funds within college practices, policies and procedures.
  10. Provides troubleshooting, problem solving, consultation and crisis intervention for students, staff, faculty, and students as needed and appropriate for area.
  11. Establishes operating procedures for Advising and Student Support Services departments and maintains liaison with other divisions and departments of the college on matters relating to division programs, physical assets, and facilities
  12. Oversees the collection, evaluation and reporting of student success and other data on Advising and Student Support Services departments and programs in conjunction with institutional research groups and related projects, activities or grants. Administers ongoing systematic assessment and evaluation of services and programs. Benchmarks with other institutions and keeps breast of emerging and best practices.
  13. Ensures compliance with college policies pertaining to academic and student conduct, academic progress, and appeals processes. Maintains student files on students making contact with, or appealing to office of the Dean. Hears and acts upon student complaints. Maintains confidentiality of student records and other information.
  14. Works assigned schedule, exhibits regular and predictable attendance and works outside of normal schedule as needed to meet workload demands. Performs other related duties as required.

Qualifications

  • Master's Degree in Education, Higher Education Administration, College Student Personnel or closely related field ( PhD is preferred)
